You support the Legal Department by handling corporate governance, commercial register filings, and administrative tasks. You help all Swiss Lonza entities stay legally compliant and efficient. You work closely with legal counsel and international teams to make sure everything runs smoothly.

Your tasks

  • Manage updates to the commercial register for Swiss Lonza entities, including making entries, changes, and deletions, and drafting resolutions to ensure compliance.
  • Support contract administration throughout their lifecycle using the CLM tool, such as keeping contract records, updating data, tracking deadlines, and coordinating reviews and signatures, including notarization when needed.
  • Take charge of the Legal Proceedings Report (LPR) three times a year, making sure all information is accurate and submitted on time.
  • Do research to help the legal team with complex corporate or commercial legal matters and routine questions.
  • Act as a link between the legal department, international law firms, and notary offices to help with cross-border projects.
  • Oversee the Basel legal team's shared inbox, arrange travel, process expenses, and handle vendor invoices and payments.
  • Organize global retreats and events, and keep an efficient archiving system for important legal documents.

What you bring

  • 5-10 years of experience as a Paralegal in a legal department or law firm.
  • Strong knowledge of legal terms and corporate law, and able to review complex documents for accuracy.
  • Advanced computer skills, including experience with digital signature platforms and financial processing tools.
  • Business fluency in English and German; French is a big plus for Swiss entity filings.
  • Ideally, you have experience as an Executive Assistant with legal knowledge, a Paralegal certificate, or a university degree in Law (BLaw/MLaw) or Business.
  • Respectful, patient, and tactful communicator who works well in a team and handles confidential information with care.
  • Good at managing lots of information quickly and can stay flexible to support the team's needs.
